Instructions for Oral Presentation

1. Language

The symposium language is English.

2. Presentations

Please respect the time allotted for your presentation. Strict timekeeping will be essential to the smooth running of the Congress.

  • Plenary lecture

Plenary speakers will give a 30-minute presentation including discussion.

  • Keynote lecture

Keynote speakers will give a 20-minute presentation including discussion.

  • Invited lecture

Invited speakers will give a 15-minute presentation including discussion.

  • Contributed papers

Oral presentations of 10 minutes + 2 minutes discussion will be held in parallel sessions. Those who submit full contributed papers and are reviewed by the scientific committee are eligible for the competition of Best Oral Presentation Award. Best Oral Presentations will be awarded at the closing ceremony of the conference.

3. Submitting Your Presentation

All speakers must check in at the Session Room preferably 20 minutes before your session to preview your presentation. Technicians will assist with the upload of your files from USB Flash Drive or Hard Drive (any brand that does not require drivers) and provide the opportunity to preview and/or edit the presentation as necessary.

4. During Your Presentation

Each session room will be staffed with a technician who will assist with starting each presentation. Once the presentation is launched, the speaker will control the program from the podium using a computer mouse or the up/down/right/left keys on a keyboard.

5. How to prepare presentation

PowerPoint instructions

Use the Microsoft PowerPoint 2003 or higher (*.ppt) or (*pptx) to guarantee they will work properly on an on-site PC. Prepare presentation in 4:3 format.

Internet access will not be available during your presentation. If you have pictures in the presentation, please insert them in the presentation file, do not use links. Be aware that embedded media clips are not saved as part of your PowerPoint presentation. The actual video or audio files need to be on the computer you will be presenting from. You will need to supply those files along with your PowerPoint file either when you upload in the Session Room.

Fonts

Only fonts included in the basic installation of MS-Windows are available. Use of other fonts not included in Windows can cause the wrong layout / style of the presentation. Suggested fonts are: Arial, Times New Roman, Tahoma, and Calibri.

How to save presentation

Save your presentation in USB flash drive. Save all files associated with the presentation (PowerPoint file, movie / video files, etc.) to one folder / location. Always make a backup copy of your presentation and save it on a different portable medium than the original presentation.

6. Additional Information

The operating system of every computer in Session room is Microsoft Windows. The organizer cannot guarantee the quality of Macintosh-based presentations; so check in advance their Windows compatibility. Participants should be aware of changing the format into PPT or PDF. When the session is over, your presentation will be deleted from all computers, no copies or backups will be made.

Standard equipment of the session rooms include data video projector, screen, desktop computer, sound system, microphones, and remote control with laser pointer. DVD-RAM and Blu-ray Disc will not be available.

Instructions for Poster Presentation

  1. Posters will be presented in the building of Engineering at CYCU. The poster dimensions are 90 cm x 180 cm (width x height).

  1. Poster sessions are 60 minutes scheduled on December 1 or 2, 2018. Authors must stand by their posters for the designated time of each poster session. The poster must be posted in the morning and removed before the next poster session begins. Any poster left behind will be discarded.

  1. Poster sessions are a valuable method for authors to present papers and meet with interested attendees for in-depth technical discussions. To stress the importance of (interactive) poster presentations, Best Poster Presentations will be selected and awarded at the closing ceremony of the conference.

  1. Onsite Information
    Push pins or adhesive tapes will be provided to attach the posters to the boards.
